Reclaiming 2.8h a day for management in distribution
Management of a logistics company in Radom lost time manually merging reports from 4 branches. We implemented a central management dashboard. Now sales data is visible with one click.
At Logis-Speed, the operations director spent every morning retyping data from emails to Excel. Instead of managing people, he fought with summing columns from four different cities. We shortened this process to just 4 minutes a day thanks to automatic data transfer.
The challenge
The company has branches in Radom, Kielce, Lublin, and Warsaw. Each used a slightly different way of recording orders. Director Marek Zalewski had to wait until all managers sent him reports by 9:00 AM. Often emails were late by 45–60 minutes.
Additionally, in every eighth sheet, we found formula errors, which distorted the financial result by nearly 12.4%. The company didn't know exactly how much it earned on a specific route until accounting closed the month. This caused downtime and unnecessary fuel costs on unprofitable routes.
Our approach
Our team from Solvium Strategia spent 9 business days directly in the client's Radom office. We analyzed exactly 417 Excel files that circulated in the company in one month. We talked to 6 employees to understand where time was leaking.
It turned out that the same data on tonnage and fuel was entered manually up to 3 times at different stages. We eliminated these redundant movements. We designed a system that pulls information directly from GPS trackers in trucks and from the invoicing system. No human involvement and no risk of error.
The solution
We built a simple but effective cloud-based management dashboard for Logis-Speed. Now the director sees a map of Poland on a tablet with routes plotted and their current margin. If transport costs exceed 310 PLN over plan, the system highlights the route in red.
We also launched automatic reports sent by SMS at 8:15 AM. Each branch manager sees their results against others, which naturally increased work discipline. The whole thing works without installing expensive servers – we used the company's existing SQL database.
Results
The director reclaimed 14.2 hours every week, which he now spends on negotiations with large shippers. Within the first 63 days of implementation, the company acquired 4 new contracts that it previously didn't have the process capacity to handle.
